Reducing the Size of your PDF Files

Trying to PDF a file? File size still too large to email or use? Try this handy little tip:

Just PDF as normal, but before you do......

  1. Click FILE, PRINT
  2. Where it says Copies and Layouts, click that drop down menu and click COLORSYNC.
  3. On the Quartz Filter drop down menu, click REDUCE FILE SIZE
  4. Then PDF as you normally would by clicking PDF, SAVE AS PDF.

For example, when following these directions, you can take a 24 MB file and reduce it to 2.3 MB. This will make your file much easier to transport and/or email.

Copy Formatting Using Format Painter

Features that simplify and save time are my favorite. Here is a feature that is available in Word, Excel and PowerPoint to try when formatting text:

Format Painter:

Using Word to create a school newsletter (or projects in Excel and PowerPoint too!), you highlight the first article header and spend time formatting it by changing the font, alignment, applying bold, color, font size, and a drop shadow. Looks great—but you have six other article headers. You don’t have to repeat all those steps for each header. Instead, save time and effort by using Format Painter.

Creating a PDF file from Word, Excel or PowerPoint

You can easily create a PDF file from Word, Excel or PowerPoint, Mail, Safari, etc - basically any program in OS X.  When posting your files in eCampus and on your website, you should use pdf files.  That way, all of your students (and parents) can open your files even if they don't have that program (like Word or Excel).
